1. General Requirements & Mobile Service

• Age: Services are strictly for individuals aged 18 years or older. Proof of age may be requested.

• Mobile Service Environment: The client must provide a safe, clean, and hazard-free working environment with sufficient space for a professional massage table (approx. 2m x 1m).

• Access & Parking: The client is responsible for ensuring the therapist has a legal place to park within a reasonable distance of the property. Any parking charges (permits, meters, or tolls) incurred must be reimbursed by the client. If the therapist cannot find legal parking within 15 minutes of arrival, the session may be cancelled as a 'No Show' with the full fee retained.

• Safety: I reserve the right to terminate a session immediately—without refund—if the environment is deemed unsafe, unhygienic, if pets/distractions prevent safe practice, or if I encounter inappropriate or suggestive behaviour.

• Medical Disclosure: Clients must provide an honest health history. Treatment will be refused if a "contraindication" (a medical condition that makes massage unsafe, such as deep vein thrombosis or certain skin infections) is present. I will, in some conditions, work around 'problem' areas, but this will be assessed on a case-by-case basis.

• Space Requirements: I require a clear, flat floor space (roughly 2m x 1m) to safely set up the massage table and move around it.

2. Payments and Bookings

• Full Payment: To secure a time slot, full payment is required at the time of booking via the website.

• Availability: All sessions are subject to availability. Early booking is highly recommended.

• Travel Radius: Prices quoted include travel costs within a 7-mile radius of NE38 0NX. Locations outside of this radius may incur an additional travel surcharge.

3. Cancellations, Reschedules and Refunds

• The 72-Hour Rule: Cancellations or rescheduling requests made less than 72 hours to 48 hours before the appointment time will result in 50% of the total session fee being retained.

• The 48-Hour Rule: Cancellations or rescheduling requests made less than 48 hours to 24 hours before the appointment time will result in 75% of the total session fee being retained.

• The 24-Hour Rule: Cancellations or rescheduling requests made less than 24 hours before the appointment time will result in the forfeiture of the full payment.

Regen Sports Therapy reserves the right to require a non-refundable 100% pre-payment for any client who has cancelled or rescheduled two or more consecutive appointments, regardless of the notice period given. This payment will not be eligible for refund or further rescheduling.

Rescheduled appointments cannot be cancelled for a refund. Only one reschedule per appointment is permitted. To ensure all clients have fair access to our diary, appointments may be rescheduled once only. Any subsequent request to move the same appointment will be treated as a cancellation and will require a new booking and deposit.

To maintain fairness in our diary, any appointment rescheduled within the 72-hour notice period carries its original cancellation status and terms listed above. If you move an appointment inside this window and subsequently cancel the new time slot, the cancellation fee will be calculated based on the notice given for the original booking. Rescheduled appointments within this window are considered final and are not eligible for a refund.

Within 24 hours of your appointment, all bookings are considered "Final Sale." At this stage, your therapist has already committed to travel logistics and blocked out the time from other clients. As such, no refunds or reschedules are permitted. If you are not at the location at the agreed time, the full fee will be retained to cover travel costs and lost clinical hours.

• Cooling-Off Period & Express Request: Purchases made online are entitled to a 14-day cooling-off period. However, by booking an appointment that occurs within 14 days of purchase, you expressly request the service to begin within the cancellation period. You acknowledge that if you cancel within 72 hours of the session or less than, the cancellations noted above in the terms and conditions apply, and a refund may not be issued.

• Provider Cancellation: In the unlikely event that I must cancel your session (e.g., illness or vehicle breakdown), you will be offered a full refund or a priority reschedule. Regen Sports Therapy shall not be held liable for failure to perform services due to causes beyond our reasonable control, including but not limited to: severe weather, fuel shortages, government lockdowns, or civil emergencies.

4. Late Arrivals

If you are not at the location at the time of the appointment, we will wait for 15 minutes. After this, the session will be considered a "No Show," and the full fee will be charged. If we start late due to a delay on your end or parking restrictions, the session will still end at the scheduled time to ensure our next client isn't affected.

In the event we arrive late, we will communicate this clearly at the earliest. We will offer appropriate compensation where a genuine, avoidable fault occurred.

• A Note on Emergencies: We operate with a core value of empathy. We understand that true emergencies happen. If you find yourself in an unavoidable situation, please contact us as soon as possible, and we will handle it with integrity and fairness on a case-by-case basis.

5. Bulk Sessions and Gift Cards

• Validity: All eGift cards and bulk packages must be redeemed within 12 months of the purchase date. After this period, the voucher and any remaining balance will expire and be voided.

• Refunds: In accordance with UK Distance Selling regulations, a 14-day cooling-off period applies to all online purchases, provided no part of the voucher has been redeemed. After 14 days, vouchers are non-refundable and cannot be exchanged for cash.

• Cancellations: We require a minimum of 24 hours’ notice for any cancellations or rescheduling. If a session is cancelled with less than 24 hours' notice, the full value of that scheduled session will be deducted from your voucher or package balance.

• Transfers: Vouchers are for personal use but may be transferred to another individual with prior written consent from Regen Sports Therapy.

• General: Vouchers can be used as partial or full payment for any mobile service. We reserve the right to update pricing; vouchers redeemed after price changes may require a top-up.

6. Health, Liability & Data

• Consultation: A health consultation form must be completed before the first session. You agree to provide accurate medical history.

• Contraindications: If a medical condition prevents a safe massage, I may require a doctor’s note. If a session cannot proceed for medical reasons, a credit note may be issued; cash refunds are not provided. If a session cannot proceed for medical reasons identified at the time of the session, then you may not be entitled to a refund and termination of the service will be considered, where appropriate.

• Aftercare Responsibility: Following a session, it is normal to experience a degree of muscle soreness or tiredness for 24–48 hours. By booking, you acknowledge that you are responsible for following the aftercare advice provided (e.g., hydration, gentle movement). Regen Sports Therapy is not liable for standard physiological responses to deep tissue work.

• Liability: I maintain full Professional Indemnity and Public Liability insurance. However, I am not liable for injury resulting from the client withholding medical information.

• Third-party bookings: If you are booking on behalf of another person, you represent that you have the authority to bind them to these Terms and Conditions. The person receiving the treatment must also sign a health consultation form prior to the session.

• Data Protection (GDPR): Your personal and health data is stored securely and used solely for your treatments in compliance with UK GDPR. It will never be shared with third parties without your consent.

• Social Media: No photographs or videos will be taken during a session without your express, written consent. Similarly, clients are requested to ask permission before recording any part of the treatment for social media.

7. Limitation of Liability

• I provide all necessary professional equipment. I am not liable for accidental damage to the client’s property (e.g., flooring or furniture) unless caused by gross negligence.

• Total liability for any claim shall not exceed the price paid for the specific session giving rise to the claim.

• These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes relating to these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

• Regen Sports Therapy reserves the right to refuse service to any individual, at any time, without providing a specific reason, provided such refusal does not violate UK equality laws.
